Case Study: Theradaptive Laboratory & Office Relocation

Project Overview:
Theradaptive required the relocation of its laboratories, warehouse, and office spaces from its Partners Court facility into a new headquarters at New Horizon Way in Frederick, MD. The move involved a wide range of assets: -80 freezers, biosafety cabinets, incubators, analyzers, microscopes, benchtop instruments, and warehouse shelving. The project also required special handling of powered freezers, sensitive lab instruments, and the disassembly/reassembly of casework — all under tight timelines with zero room for disruption to research continuity.
Scope & Strategy:
Hoffberger Moving Systems (HMS) provided a comprehensive relocation plan led by a project executive, senior project manager, and assistant project manager. The approach included:
Pre-Move Preparation:
- Delivered packing crates, dollies, labels, and purge bins in April to allow staff to prepare contents.
- Coordinated labeling of all lab equipment with asset tags tied to specific destinations in the new facility.
Warehouse & Lab Relocation:
- Warehouse (May 20, 2024): Packed and relocated shelving and contents into commercial bins; reassembled shelving per new layout.
- Lab Packing (May 21, 2024): HMS packed three labs, including bench drawers, cabinets, glassware, supplies, and kitchen contents.
- Main Relocation (May 22, 2024): Crew of 4 supervisors, 1 install supervisor, 10 movers, and 4 trucks (2 generator-equipped) relocated all labs, offices, freezers, refrigerators, and biosafety cabinets.
Special Handling:
- Used generator trucks to keep freezers and refrigerators powered during transit.
- Hydraulic lifts used to disassemble and reinstall biosafety cabinets.
- Microscopes, analyzers, and benchtop equipment packed with anti-static and vibration-minimizing protection.
Outcome:
- Full relocation of offices, warehouse, and labs completed on schedule across three days.
- Safe transport of all freezers and biosafety cabinets with no sample loss or equipment damage.
- Warehouse shelving reassembled and labs set up per layout for seamless restart of operations.
